Procurement Assistant

Job Summary:
Responsible for procurement, including placing and tracking orders, negotiating with vendors, and following up on items that are outstanding delivery. Knowledge of alternative options for vendors of items should be used to recommend alternative options to procurement requests to ensure the lowest cost option is procured. Responsible for maintaining record of all company pcard expenses.
Essential Functions:

Complete all procurements with 48 hours from receipt of approval with proper coding

Maintain organization of the orders email

Identify vendors and request quotes, negotiate rates and payment terms

Ensure triple quoting or sole source justification is accurately completed, when applicable
-
Notify co-worker with necessary information to complete a UCC filing, when applicable
-
Track all orders and returns to ensure on-time delivery

Purchase on island supplies as requested

Maintain procurement section of corporate database

Scan in all company pcard receipts
-
Track all pcard expenses, including recording all expenses in the corporate database, following up to request missing receipts or missing coding and running pcard reports.

Interacts with co-workers, suppliers, customers, and partners in a professional, considerate, and respectful manner

Foster an environment of safety, camaraderie, and integrity in all aspects of work

Observe all laws, regulations, other applicable obligations, and company ethical standards while on duty, wherever and whenever business is conducted on behalf of the company

Perform work in a safe manner in accordance with established operating procedures and practices

Notify human resources of any activities that could violate or have the appearance of violating laws, regulations, obligations, ethical standards, potentially unsafe working conditions, procedures, or practices

Qualifications, Skills and Physical Demands

High School diploma or equivalent required, bachelors degree preferred. Typical minimum experience is at least 1 year

Must be able to work weekends as required

Must be able to remain in a stationary position and use a computer or equipment for most of the day
-
Must be able to work outdoors traverse algae farm while performing tasks such as transporting supplies
-
Must be able to work indoors in the lab traversing the lab while performing tasks such as transporting supplies
-
Must have strong communication, computer, documentation, and interpersonal skills
-
Computer literate with the knowledge of applications pertinent to position objectives
-
Must be able to communicate via phone, video conference and email with co-workers and business contacts daily
-
Must have ability to work independently and as part of a team in a fast-paced environment and learn new concepts quickly

Must be able to think strategically and have the ability to use independent judgment
-
Must be able to maintain confidentiality
